Creating Sales Order Using Sales Quotation

System allows users to create Sales Order Using Sales Quotation. We can import one or multiple sales quotations under one customer.

Go to Sales (Menu) > Sales Order (Sub-menu)

Sales Quotation transactions that have been posted or approved are allowed to be imported into the Sales Order.

To Create Sales Order Using Multiple Sales Quotations:
  1. Click Import link located at the upper right corner.

  2. Sales Quotation Import Search Page will be displayed. Search for Customer record either by clicking the magnifying glass or entering the search term into the field.

Once customer ID has been filled in correctly (a blue hyperlink representing the customer's name will appear next to the magnifying glass), currency will be automatically set by its default value based on customer currency configuration on the Customer Page. However, user can still change the currency.

  4. User must enter the desired date range in the "From" and "To" fields and then click the search button on the right side. This action will prompt the system to initiate the search process.

  5. After clicking the button, all results are displayed below the Sales Quotation ID search criteria.

  6. User can select which sales quotation transactions they want to import into the sales order. To view the items associated with the chosen quotation, he must click on the drill down button. Upon clicking, system will display the items in that transaction, along with the quantity and sales uom.

  7. User has the option to either import all products associated to the selected transaction by checking the box in the upper left corner or manually selecting specific items.

  8. User can choose to either proceed with or cancel the importation of the sales quotation into the sales order. If the user wants to cancel the importation, he can click the CANCEL button located in the lower right corner.

  9. If the user wishes to proceed, after selecting the necessary items, he can click the OK button located in the lower right corner.

  10. After clicking the OK button, the sales quotation import window will close and the information from the sales quotation will be inherited into the sales order. This includes the customer, contact person, salesperson, currency, exchange rate, payment terms, mode of shipment, billing address, shipping/delivery address, date needed, items, quantity, sales unit, and more.

  11. This is one of the final processes of the sales order. During this phase, partial fulfillment occurred. Transaction can be closed when there's no available stocks and the remaining items cannot be fulfilled anymore. All transactions with this status can be exported to Order Fulfilment and Sales Return for warranty purposes only. Additionally, this is considered as valid transaction unlike Void.

To Create Sales Order Using Transaction ID (Sales Quotation):
  1. Click Import link located at the upper right corner.

  2. Enter/Paste the transaction ID to the Sales Quotation ID field. After entering, user can click the search button in the right corner of the same line as the sales quotation ID field to initiate the search process.

  3. After clicking the search button, result is displayed below the Sales Quotation ID search criteria.

  4. To view the items associated with the transaction, he must click on the drill down button. Upon clicking, system will display the items in that transaction, along with the quantity and sales uom.
